Refunds & rescheduling

Eligibility

Refunds apply to fees paid toward a booked engagement (session quality review, usage pattern study, onboarding assessment, or retention walkthrough). This site does not sell physical goods or software licences.

Timeframe

Cancel in writing to hello@query-nodecore.digital at least 7 business days before the agreed kickoff date for a full deposit refund. Cancellations between 6 and 3 business days before kickoff receive a 50% refund of the deposit. Later cancellations forfeit the deposit.

Full or partial refunds

If we cancel an engagement for reasons on our side and cannot offer a mutually acceptable new date, you receive a full refund of amounts paid for the undelivered work. If only part of a multi-phase study has been delivered, we refund the unused portion after deducting completed phases at the rates in your statement of work.

Non-refundable items

Completed readouts, delivered written briefs, and analyst days already worked are non-refundable. Third-party costs you approved in writing (for example paid participant recruitment) are non-refundable once incurred.

Work already started

Once evidence review has begun, fees for time spent are earned. We will itemise remaining work if you pause or cancel mid-engagement.

Deposits

A typical 40% deposit reserves calendar time. Deposits are credited toward the final invoice and are refundable only under the timeframes above.

Rescheduling & no-shows

You may reschedule a kickoff or readout once without fee if you give at least 3 business days’ notice. Later reschedules or no-shows for scheduled readouts may incur a fee of ฿4,000 or forfeiture of that session slot, whichever the statement of work specifies.

Refund process & timing

Email hello@query-nodecore.digital with your engagement reference, payment date, and reason. Approved refunds are processed within 14 business days to the original payment method where possible.
